The agency options within Assess.ai is when there are different departments or teams accessing a single workspace. The agency will have separate user groups and access points to the Assess.ai system.
Setting up for Agency / Institution
Go to Admin / Configuration
Scroll down to Agency:
Use Agencies with Test Scheduler and Examinees:
Test Schedulers that have Self Registered will only be able to create sessions for the Agency that they are linked to.
Use Agency instead of workspace name as organization name in pre session confirmation Screen
Enable Agencies User Groups:
All users from the same Agency will be in an Agency User Group.
Go to Admin / Users / User Groups
Use Agency for Test Coordinator:
A Test Coordinator can be assigned to a Session. Only users with the Test Scheduler Role can be assigned as a Test Coordinator.
For Agency only Test Schedulers in the same Agency User Group will be available.
When a Session with a Test Coordinator is locked, an email will be sent to the Test Coordinator notifying them of the Session.
There a 2 sections for this setup:
1. Configuration: Session: Use candidate confirmation screen for all candidates
2. Configuration: Agency: Use Agency instead of workspace name as organization in pre session confirmation screen.
The confirmation screen allows the candidate to check their information before beginning the test. If the candidate is testing through an Agency it is better to show the Agency Name.
The term Agency can be edited per workspace, if your organization uses Institution then this can be edited on the Configuration - Agency options.
Users for Agency / Institution - (self registration)
Setting up the Assess.ai workspace for different Agencies / Institutions (departments or teams) involves the following steps.
Configuration:
- Agency Users
The Additional Signup feature will allow Agency Users to self-register.
Go to Admin / Configuration
Check to Additional Signup feature.

Adding or Editing Agency / Institution.
- To add a new Agency / Institution:
- Go to the Tags Module
- Scroll down to Agencies (Note: if Agency has been renamed during the Configuration Setup - this label will be named as selected on the Configuration setup)
- Select Add Agency / Institution
Capture the Agency / Institution information:
Enter the Information about the Agency / Institution.
Capture the Agency / Institution contact information:
Enter the contacts for the Agency / Institution. The Primary Contact is captured on the Information Screen.
Agency / Institution Users
A list of Agency / Institution Users and their Roles will be displayed.
Agency / Institution Sessions
A list of Agency / Institution Sessions will be displayed.
